How to Run a Profitable Happy Hour

Know Your Numbers Before You Discount

Happy hour only works if you're discounting off a margin you can afford to lose. Pull your actual pour costs and food costs — not category averages — for every item you're considering. A well-poured house wine at 22% cost can absorb a 30% discount and still be profitable. A craft cocktail at 38% cost cannot.

Start there. Build your happy hour menu around items with cost structures that survive the promotion.

Design a Menu That Drives Check Size

The goal isn't just traffic — it's profitable traffic. A few principles that work:

  • Anchor discounts on drinks, not food. Beverage margins are typically higher. Discounted drinks pull people in; full-price bites pad the check.
  • Limit the menu. Four to six items is enough. Smaller menus reduce waste, simplify prep, and help servers sell confidently.
  • Include one shareable item. A board or a platter encourages groups to linger and order another round.
  • Price to a psychological threshold. $7 wells, $9 house pours, $6 drafts — round numbers speed ordering and reduce friction at the bar.

Staff It Right

A busy happy hour with an understaffed bar destroys the experience and kills repeat visits. Schedule your fastest bartenders during the rush window — typically 4–7 PM on weekdays — and make sure servers know the happy hour menu cold before service starts.

Track turn times during the promo period separately from your dinner service. If tables are camping, your happy hour is subsidizing people who aren't ordering.

Measure What Actually Matters

After each happy hour week, review:

  • Revenue per labor hour during the promo window vs. a standard shift
  • Per-server sales to identify who's upselling effectively
  • Ingredient movement to catch over-pouring or waste on discounted items

These numbers tell you whether happy hour is adding to your bottom line or just adding to your workload.

How Hubstaurant Helps You Run This Automatically

Hubstaurant connects purchase-driven inventory, food-cost analytics, per-server performance tracking, and POS analytics in one system. Instead of pulling reports from three different tools, you can see your actual ingredient costs against happy hour sales in the same dashboard — and spot leakage or over-pouring before it compounds.

The per-server analytics show you exactly who's driving check size during your promo window, so you can schedule and coach accordingly. No manual spreadsheets. The system works in the background while you run the floor.
